Frequently Asked Questions

Questions that have been asked by our clients and about our services. If you have a question or comment you would like to contribute, please send it to: questions@realmailonly.com

Q. Why are file extensions like .zip and .exe being filtered?

A. This is a common means of propagating viruses, worms, and other email based threats to your network. There for if someone sends you such a file they receive a return notification and, are instructed to rename the file and resend. If you are the authenticated owner of an email box hosted on our server you will not be stopped from sending any such file to others, including your own domain.

Q. How did a virus get into my system through your server?

A. We do not advertise ourselves as a virus scanning facility. We scan for SPAM email. In doing so, some of our rules catch large amouns of email infections. This is a misconception we feel is brought about partially by the press coverage of our system performance. Our methods allow us to screen common methods of introducing anything foreign into your email. At some point we may introduce a supplementary virus scanning offering to our service inventory. But as yet we do our best to stop spam, if it gets some viruses and worms as well then we're happy we could help keep you from experiencing the consequences.

Q. How can I put all of my email accounts in one place?

A. If you host your domain on our servers you have the ability to utilize our WebMail features to retrieve email from all of your existing accounts. This is all done through a convenient web browser interface. When you retrieve email from your other accounts, you get what ever is there unfortunately. We only filter inbound email, not email that is delivered to other servers. This means you can get spam to those accounts. To offset this, the WebMail interface allows it's own SPAM blocking and tagging features so that you can control what comes from those accounts yourself.

Q. Why can't screened email be tagged as spam and not rejected?

A. We can tag your email with our system score and pass it on to your server, if your server can manipulate delivery into a SPAM folder based on these tags. If your email is hosted on our servers we have the ability to deliver directly to a specified mailbox or folder. But as a rule we reject, as that is the only way of reducing the total amount of email traffic being generated. Anything other than rejecting a SPAM message only adds to the overall problem that will eventually.

Q. How many mailboxes can we have for our domain?

A. Our service is scalable to any level. We find that our average client requires between 200-1000 mailboxes. Since this is a service based offering, we may facilitate any size client domain.

Q. Why can't I just buy a SPAM blocker for my PCs, why do I need this service?

A. If you have 10 employees/mailboxes and receive 30-50 unwanted email messages per mailbox per day, then you will find that you spend nearly as much time configuring/updating your software as you would dealing with the unwanted email. If you have 1000 mailboxes/employees you can imagine the logistics of attempting to maintain this type of software.

Q. I've heard of server based products for virus and spam filtering, should I install this instead of your service?

A. Our suggestion is to install it AS WELL AS using our service. You need a server based virus scanning facility if you have an in-house email server. In this instance we are passing all in bound mail to your domain directly to your server after screening. If a virus goes through our system undetected it will enter your system, so your system should be ready for it. Server based SPAM filtering is another story. Every server based SPAM filter we've seen requires constant updating and changes. Some claim to 'learn' SPAM, their success has proven only marginal to the task.

Q. I have AnOverlyLarge.com email account, can I filter it?

A. Unfortunately at this time the answer is no. We are working on a system that will retrieve email from other accounts and screen it before delivery to the local system or transfer to another system. This infomation will be updated on our website when this project is completed.

Q. We want to use your service for our domain, but we must manage it ourselves.

A. In some sectors email systems manipulate highly sensitive information which requires this level of isolation and security. This type of situation is outside of the scope of our standard service agreements, but we will make every effort to facilitate SPAM free email in any environment.

Q. What are you looking for to determine if email is SPAM?

A. Great question, that we can only partially answer. The reason is that SPAMMERS and HACKERS do not sit around in cyber-cafes and try to find people to compromise. This is a highly skilled group of individuals that successfully circumvent every type of system on the planet every single day. So we're not going to aid them by revealing our exact methods. We do not blacklist, meaning blocking chunks of the internet based on the amount of SPAM traffic reported coming from them as most services do. Our system is score based, meaning every aspect of a message transaction is parsed. When a criteria is met a particular score is added. When the score formula reaches a designated maximum the messages is designated as SPAM.

Q. How long does it take to be validated and white-listed when an email has been rejected in error.

A. When an email is rejected, the status code returned to the server designates the rejection, and issues a link pointing to a validation page on our website. Once the person has submitted their email address for validation they will be validated and entered into our list of trusted correspondents for a particular domain hosted on our servers. This process takes place in less than 24 hours. In most cases, during business hours, the issue is addressed within minutes.

Q. How can I make sure that I get email from anyone from a particular domain?

A. For obvious reasons we will not white-list large service provider domains, as they are the source of most SPAM. However, if the domain you request has a legitimate email server address we can white-list their server(s) accordingly so that any email from that server is considered trusted. We can white-list based on email address, domain name, email server names/addresses, or IP addresses.

Q. Is there lower rates available for higher volume?

A. Requests for our service based on mailbox requirements of 10,000 or more will enter advanced pricing structures. These structures are not advertised on our website. Usually such an entity would be considered a service provider themselves, and our arrangements with service providers are unique to their specific needs. We may customize our service to meet your needs, and your budget.

Q. Who are your present clients?

A. Our policy does not allow us to disclose any information about our clients to anyone, not even other clients. Any level of security provided must be maintained with anonymity to our clients. Listing clientel is exposing clientel. That is our policy. It will not change. This holds true for all branches of our parent company, Berrex Computer Solutions.
